How to setup users to access the Rep Info page

Describes how to adjust the permissions settings so staff can be granted access to the Rep Info page.

Preamble

Note that in the following document the words "rep" and "reps" are synonymous with the words "employee" and "employees". It is possible to use the Rep Info page to view information including pay history for any employee, not just reps, depending on the specific permission settings of the user. Therefore, in order for users to be able to view the rep info page they must be assigned a role that enables them to view employee information for that type of employee. All staff will have the ability to search in the Rep Info Search page, but in order to move past the search screen and see information they must have the appropriate permissions. Here is a current list of relevant roles and the types of employees they have access to:

Rep Employee Maintenance

Allows users to view/edit Canadian Rep information (employees of payroll account RP0002)

USA Employee Maintenance

Allows users to view/edit US Rep information (employees of the US payroll/pay account)

HO Employee Maintenance

Allows users to view/edit HO employee information (employees of payroll account RP0001)

Exec Employee Maintenance

Allows users to view/edit executive employee information (employees of payroll account RP0003)

Rep Payroll Reporting

Allows users to view pay history and re-print cheques or EFT pay stubs for Canadian reps

USA Payroll Reporting

Allows users to view pay history and re-print cheques or EFT pay stubs for US reps

HO Payroll Reporting

Allows users to view pay history and re-print cheques or EFT pay stubs for HO employees (RP0001)

Exec Payroll Reporting

Allows users to view pay history and re-print cheques or EFT pay stubs for executive employees (RP0003) 


Users may be assigned more than one role depending on the desired permission levels. Permission settings that apply to Canadian reps apply to both employees of TNI The Network Inc. and contractors of Eye To Eye. The same is true for US reps.

How to assign roles to a user

In order to change permission settings you must have permission to the "Control User Roles & Permissions" role. If you have not been assigned to this role please contact a system administrator. If you have been assigned to this role follow the steps below.

  1. Gain access to the ERP main menu. To do this you must select the Finance feature on the TNI Control Panel. If you do not see the Finance feature on the TNI Control Panel contact a system administrator.
  2. Select the following from the top menu: Maintenance > Manage Permissions > Assign Roles to a User
  3. Select the user you wish to change permissions for. You may use the filter fields to narrow down the user list.
  4. Check or uncheck the roles as desired. Note that payroll related roles are near the bottom of the list.
  5. Click Save when you're done.

System Administrators

Because of the confidential information that can be accessed through the ERP only a select few authorized people have the abilities to assign roles within the ERP. If you need assistance changing roles please submit a request to one of the following people. Note that IT is not able to assign roles.
